Position Overview

The Office Coordinator oversees the support staff for clinic operations. This includes the implementation of office protocol as well as the training and evaluation of support staff. The Clinical Office Manager is responsible to ensure policies and procedures are in place for appropriate collection and recording of insurance copays, to manage and delegate the maintenance of LMP schedules, medication handling, front desk client relations, clinical records and issues of financial responsibility.

Essential Job Functions

Main Duties:

  • Oversee and support all administrative duties in the office and ensure that office is operating smoothly
  • Supervise and occasionally provide back-up for the front office staff and the following tasks:
  • Front desk reception
  • Professionally and promptly answer and screen and redirect phone
  • Check-in and/or cancel therapy clients in Electronic Medical Records (EMR) while accurately and confidentially managing and safeguarding patient information
  • Collect Payments
  • Respond to record requests and request records from outside agencies promptly
  • Process incoming electronic faxes, ensuring they are delivered to the proper recipient, and all documents are recorded in client files
  • Ensure the cleanliness and organization of the therapy and office spaces, including maintaining therapy supplies
  • Maintain excellent customer service while adhering to safe work practices and procedures
  • Manage office supplies inventory and place orders as necessary
  • Manage agency phone system including cell phone purchases, distribution and operation
  • Develop office policies and procedures, and ensure they are implemented appropriately
  • Assist with office layout planning and office moves, and with managing and maintaining IT infrastructure
  • Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports
  • Maintain and disclose clinical records
  • Develop front office protocols
  • Supervises all support staff including scheduling staff hours and days off. Ensure there is coverage during business hours as well as opening and closing of office.
  • Completes yearly evaluations for support staff.
  • Interface with the clinical team to ensure coordinated service delivery.
  • Attend clinical trainings as needed.
  • Order all office supplies.
  • Provide support for computer issues and Credible
  • Accept other duties as assigned

Essential Job Requirements:

Education:

  • HS diploma or GED, and three years related experience and/or training; or equivalent combination of education and experience. Qualified Mental Health Associate preferred.

Experience:

  • Previous experience in a medical office-setting, familiar with basic office procedures, supervisory experience required.

Required skills:

  • Understanding of how clinical records are constructed
  • Familiar with laws governing clinical records disclosure, HIPPA standards
  • Ability to troubleshoot computer issues
  • Ability to attend to multiple tasks in a busy office environment.
  • Ability to establish and maintain appropriate professional boundaries.

Job Type: Full-time

Pay: $50,000.00 - $60,000.00 per year
